An attendance shortage notice is not paperwork — it is an intervention. Sent at the right time with the right tone, it pulls a drifting student back before the situation becomes unrecoverable. Sent too late, or worded as a threat, it becomes either useless or a source of conflict. The difference is process: clear thresholds, escalating seriousness, and templates your staff can use without rewriting them every time.
Below is the complete system: when to send, how serious each stage gets, and copy-paste templates in English and Roman Urdu.
When to Send: Trigger Thresholds
Notices should trigger on percentage thresholds, not on gut feeling. A widely used ladder: below 85% — informational first notice; below 80% — formal written warning; approaching 75% — final notice with mandatory parent meeting; below 75% — eligibility-risk notice (in Pakistan, this is the board-exam eligibility threshold).
Run the check monthly for all classes, and fortnightly for board classes in the final term. Thresholds should be written into school policy so no teacher has to decide subjectively whose parents get a letter — the numbers decide, uniformly, for everyone.
The Four-Stage Escalation Ladder
Each stage escalates formality, not hostility. Stage 1 is informational and warm — many parents genuinely do not realize how low the percentage has slipped. Stage 2 is formal and documented, requesting a signed acknowledgment. Stage 3 requires a face-to-face meeting; letters alone have stopped working by this point. Stage 4 states consequences plainly (exam eligibility, promotion policy) because soft language at this stage would be dishonest.
Never skip stages for a first-time case — jumping straight to threats destroys goodwill. But do not repeat Stage 1 three times either; escalation that never escalates teaches parents the letters can be ignored.

Roman Urdu Templates
In Pakistani schools, a Roman Urdu version often gets read and acted on when the English letter is filed away unread. Send both, or follow the English notice with the Urdu version after a few days.

Documentation: Protecting the School
Every notice sent must be logged: date, stage, recipient, and delivery proof. Keep the signed acknowledgment slips in the student's file. Record meeting minutes for Stage 3 — who attended, what was agreed, what the improvement target is. If a dispute ever arises ("we were never informed"), this file is the school's defense.
This is where software earns its keep: an attendance management system can auto-generate the at-risk list each month, merge names and percentages into these templates, send them via SMS/WhatsApp through your parent communication system, and log every sending with a timestamp. What currently takes your office a week of drafting and chasing becomes an afternoon's work — and no at-risk student ever slips through because someone forgot.
